CG Sequence Number By Store - System Option

This option depends on Store By Number system option setting.

 

This option allows using computer-generated invoices that insert the user’s default store code as the fourth character.  This allows for easy identification of customer invoice numbers.  

CG512456 would indicate:

CG = Computer Generated

5 = the year (1995, 2005, 2015)

1 = Store code 1

2456 = Sequential number assigned by the system.  Up to 1,185,921 invoices per year are possible with this method.

The number will work like this:

CG3W999- this is order number 9,999 for store number W.  The third digit represents the year. The fourth digit represents the store code, and then up to 9,999.  After 9,999 the numbering sequence begins to use letters: CG3WA000, CG3WA001, etc. The letters will go up to Z.

 

If the Sequence Number by Store is used, the Computer Generated invoice number will always reflect the store number entered on the customer order when created.  If the store code is changed on the customer order after the initial entry, the CG number will not change, and therefore will not match to the new store code entered.  If using a blank store code, there will be a space in the invoice number.

 

Once a store opts to use Sequence Number by store, they should not attempt to revert. This feature was not designed to change back and forth as the next order will pick up the store designator of the highest number order entered before the option was turned off.  For example, if the highest order entered was CG51111 for a store code 1 order, then the next order would be CG51112 no matter the store.

Combined CG Numbers

Using combined CG numbers, the maximum number of invoices is 43,770,015.  The number will work like this: the last five digits are reserved for the sequence number, previously CG300001 to CG399999.

CG399999 – this is order number 99,999 for 2003 (the third digit represents the year).  After 99,999, the numbering sequence begins to use letters: CG3A0000, CG3A0001, and so on through the letter Z.

The letters I, L and O are excluded so as not to be confused with the numbers 1 or 0.

In the unlikely event that a client gets close to running out of invoices, the program will warn the client

  • Combined: Starting with Invoice CG3ZZ000 - This gives the store 46,656 more invoices to contact us for assistance.
  • Per Store: Starting with Invoice CG3WZ000 - This gives the store 46,656 more invoices to contact us for assistance.

If a user ignores the warning and gets to the max CG Number, the program will shut down.

 

Some other notes 

  • In all instances, if there are invoices in the system from the previous decade (e.g. the current year is 2007 and there are CGs in the system from 1997), the system will start the current year numbering sequence with the next available CG number (e.g. the last 1997 CG was CG704432, the first 2007 CG will be CG704433).
  • In a Combined CG Number, the last five digits are reserved for the sequence number, previously CG300001 to CG399999
  • In a per Store CG Number, the fourth digit is reserved for the store character. In the case of Store W, the previous range would be CG3W0001 to CG3W9999.
  • Once the max number is reached (either 9999 or 99999) a new base-36 numbering system is used. In this case numbers go from 0 .. 9, then A .. Z. (i.e. 0,1,2,3,4,5,6,7,8,9,A,B,C .. Z)
  • In the case of Combined CG Numbers, the numbers after CG399999 are CG3A0000, CG3A0001, CG3A0002, CG3A0003 .. CG3A0009, CG3A000A, CG3A000B, CG3A000C .. CG3A000Z, CG3A0010, CG3A0011, CG3A0012 .. CG3A0019, CG3A001A, CG3A001B, CG3A001C .. CG3A001Z, CG3A0020 .. CG3ZZZZZ.
  • In the case of per Store CG Numbers with Store Code = 'W', the numbers after CG3W9999 are CG3WA000, CG3WA001, CG3WA002, CG3WA003 .. CG3WA009, CG3WA00A, CG3WA00B, CG3WA00C .. CG3WA00Z, CG3WA010, CG3WA011, CG3WA012 .. CG3WA019, CG3WA01A, CG3WA01B, CG3WA01C .. CG3WA01Z, CG3WA020 .. CG3WZZZZ.
  • If a user gets to the max CG Number, the program will shut down.
