Understanding and Signing Up for ACH Transactions Beta

Cyncly’s Payments Flex now supports ACH (Automated Clearing House) transactions through My Flooring Link, offering a cost-effective alternative to credit card payments. This system improves security and helps dealers reduce interchange fees.

Getting Started

When ACH is enabled, customers see a “US Bank Account” option in My Flooring Link. They must search for and select their bank—manual entry of routing/account numbers is disabled due to lack of microdeposit verification. 

If the bank supports Instant Verification, customers can log in directly and optionally save their credentials for future use.

ACH Transaction Lifecycle

StatusDescription
PendingTransaction initiated, awaiting bank clearance.
SucceededTransaction cleared; funds included in payout.
FailedDeclined or returned; no payout issued.

Fees

  • 0.50% per transaction
  • $25.00 dispute fee
  • $10.00 return fee

Funding Timeline

ACH deposits can take 1–4 business days, and sometimes up to 8 days. Patience is critical—dealers should not treat ACH like instant credit card transactions.

Monitoring & Best Practices

  • Create a separate register for ACH payments in RFMS.
  • Wait until payments appear in Payouts before posting receipts.
  • Check the Payments Flex portal weekly to catch any failed payments.
  • Refunds for failed ACHs must be handled manually through the “Post Receipt Only” process.

Setup Instructions

Create New Receipt Register

Path: Utilities > Setup > Receipt Configuration

  1. Click Create New.
  2. Enter “ACH” in the Description field.
  3. Check the Set Default Store checkbox.
  4. Set Payment Type toggle to Credit.
  5. Click OK.
  6. Create one ACH register for each MID.

Update Credit Card Prefixes

Path: Utilities > Credit Card Setup > Credit Card Prefixes

  1. Click Create New.
  2. Enter “0” as the Prefix Number.
  3. Click the “” to the right of the Receipt Sequence field and select the appropriate ACH register.
  4. Click Set Default Store.
  5. Press F8.
  6. Select the store.
  7. Click OK.
  8. Repeat for each store.

Disputes

ACH disputes are final—no appeal process. 

If a refund is issued while a dispute is underway, the customer may be credited twice.

Enabling ACH

  1. Complete setup as described above.
  2. Submit the ACH Enablement Form to acctmaintenance@cyncly.com.
  3. Setup typically takes 24-48 business hours.

Reconciliation

Use Payments Flex portal and RFMS Receipt Recap reports to reconcile ACH transactions. 

If mismatches occur: 

  • Run the Receipt Recap for the ACH register to identify gaps. 
  • Reconcile bank deposits via RFMS Accounting > File > Banking.
