System Options - Administrator System Options and Functions

Administrators are users with a LEVEL ONE password.

  1. Since this is the Administrator screen the type is filtered to all three types by default. Type is also a column in the browse list.
  2. The module will default to the module on when entering the system options. Module is also a column in the browse list.
  3. Applies to: helps narrow the list of possible options. Applies to is also a column in the browse list.
  4. If there are many options to choose from enter a key word and then the tab key to search for a particular option.
  5. If unsure of the module or what it applies to use the S button to include all options in the search.
  6. The Category describes the function of the option. Use the Select Category drop down list to show only one category at a time.
  7. The option itself is listed in the browse list. Enter any of this into the Search Option Field for text to locate the option.
  8. The Value column lists how the option is currently set. If the value is user or assigned, the browse list will say User Specific Value.
  9. To edit an option highlight it in the browse list and click the Edit Value for Users For administrators this will bring up an additional screen. 
  10. Administrators have a Change Hidden Setting button to switch an option from hidden to not hidden and back. Hidden means the option will not be listed on user option browse lists. This will leave the user options much simpler.          mceclip2.png
  11. Hidden options will be marked with a green check mark on the administrator screen and will not be visible on the user screen.  Assigned and User system options can be hidden. These examples are assigned options. The checked ones would not be visible to users even though they are not global options
  12. An administrator can click the Change Type button for the highlighted option to move it from one type to another.
  13. Administrators can Copy System Options from one user to one or more users.
  14. Administrators can filter options to view and edit only options for a single user.
  15. System options which are not valid for the system will be listed in gray. Double clicking on the option will display why the option is not valid.

Administrator Functions

From the administrator screen, clicking the change value button, bring up the change value for tagged user screen.

Global Type Options

All users will be automatically tagged and the tagging options will be unavailable.

Assigned and User Type Options

If values are being changed for just one user, it is simpler to filter for that user.

 In most cases, all users will be tagged by default.  If most users’ value will be changed, just untag the ones whose value will stay the same.  If only a few users’ value will be changed, untag all and just retag the ones who will be changed.

If the option is dependent on another option being active, then only the users with the parent option active will show as tagged. 

The note on the Change Value screen tells the option this option is dependent on.

When changing values for multiple tagged users, the system will change all tagged users to the same value.  If the users did not have the same values before, the system will allow choosing the new value.

Changing Types

Locked Options

Some options are “locked” at their current type. 

redlock.gifRed Lock - System Option Type cannot be changed. Must be global. The change type button will not be available for these options.

Yellowlocks.gifYellow Lock - System Option Type cannot be Global. Must be assigned or user. These are options such as email settings which must be different for users or stores available settings which only make sense if they are different between users if used at all. 

It is up to administrators to decide the type of other options. 

When an option is changed from User or Assigned to Global, the value will be changed for all users to the default value for that option.

For example the default value for Displaying “On Order” Inventory from Order Entry is no.  With this option set to User or Assigned some users could be set to yes while other users are set to no. If the administrator changes this option to Global, all of the users would be reset to the default which is no. 

When an option is changed from Global to User or Assigned all users will be set to the current global value.

Copy Options

This allows copying one user’s User and Assigned options to other users.

Click the Copy Options button on the administrator screen.

Use the down arrow to list user and choose a user to copy from.

Either Tag all names or click one or more user names to copy the options to. The list of the names will show on the bottom of the screen.

The ability to copy screen and browse settings and the Saved Filters are also an option at the bottom of this screen.

Click Apply to complete the process.
