Flagging Payables for Payment

 

A payable can be flagged in any search mode while browsing the Accounts Payable screen.

  Note: Payables flagged in Next will not be available in Core through the Print Flagged A/P or Print A/P Checks Check Writing options but are available through the Flag Payables screen.

How to Flag Payables in RFMS Next
  1. Select a payable from the search results list
  2. Click the Flag button in the tool bar or the flag icon located on the payable line

Printing Flagged Payables List

After invoices have been flagged for payment, a listing of all invoices flagged can be download or printed. This listing should be reviewed for accuracy before printing checks. If after doing so, you notice an invoice that should not be paid; you can "un-flag" that invoice.

How To:

  1. Click the search options button, additional, and switch the search mode to Flagged Payables. Click Apply to run the search.
  2. Adjust the sorting, filtering, and column options as needed.
  3. From the toolbar select download to obtain a CSV file that reflects all sorting and filtering changes, or select print to directly print the search results list.

  Tip: At the bottom of the screen in the summary section the number of checks required will be listed.

Print Checks for Flagged Payables

  1. Click the search options button, additional, and switch the search mode to Flagged Payables. Click Apply to run the search.
  2. From the toolbar select print. All flagged payables will be included regardless of what is selected/not selected in the browse window.
  3. Fill out the required and optional fields in the Settings section of the Print Flagged Checks dialog. Click Next to continue.
  4. Review the checks to be printed and deselect any checks you do not wish to print at this time. Click Print Selected Checks to continue.
  5. A print preview will come up. Click Print to print the checks.
  6. Check that that checks have printed correctly. If not, choose from two options: No, Try Again or No, Need New Check Numbers. If they have printed correctly, choose Yes.
  7. If you have checked the option to Print Remittances they will be printed after the checks have printed correctly.

Explanation

Account

Select the checking account. If you have more than one account from which invoice are paid, use the search icon, search to open the Find Account screen and select an account.

Check Date The system date is the default. To change the date, use the dropdown arrow to select a date from the calendar.
Starting Check Number

Enter the check number. You may enter a number up to 10 beyond the last check number used. Beyond that, and an error message will display.

 Tips:

  • The last used check number is listed in the 'find account' screen.
  • If you enter a number lower than the last used check the system will give you an error.
Check Template Select a check template from the dropdown list
Single Payee Supplier payee information. This field is view only and is obtained from the payee section of the supplier information of the selected invoice.
Print Hardcopy of Emailed Remittance if Applicable Checkbox to print physical copy of remittance that are emailed.
Options if the Check did NOT print correctly
Option Explanation
NO, TRY AGAIN This option attempts to print the check again.
NO, NEED NEW CHECK NUMBERS This option lets you go back and alter the check number and then print the check again.
