Viewing Zero-Balance Inventory Records (Display Zero Available Inventory Option)

The Display Zero Available Inventory setting determines whether inventory records with a zero physical balance are visible throughout the system.

Path: Utilities > System Options > Order Entry > Inventory

Category: Configuration

Type: Global, Assigned, or User

When set to Yes, the system will display:

  • Items that are sold out
  • Items showing zero available
  • Items on order or in transition
  • Zero-balance items needed for return/claim transactions

When set to No, zero-balance records are hidden from most search screens, including Order Entry line-item selection.

There is a similar setting specifically for Sales Floor Assistant.

Using this Option with Returns/Claims

Returns require the system to reference the original inventory record, even if its available quantity is now zero.

If this option is disable, the record will not appear when adding lines during a return, leading users to believe the item is "missing" from inventory.

Enabling the options ensures the record is visible and selectable.

Additional Uses

Turning this option on also supports inventory management by providing visibility into:

  • Items needing reorder
  • Current on-order quantities
  • Historical stock movements

Reordering can be further supported through:

  1. Setting reorder levels for each item
  2. Importing product information consistently on incoming Purchase Orders (PO)
  3. Running the Needed Inventory Report
  4. Creating POs based on reorder thresholds
