Credit Card Pre-Authorizations

 

If you subscribe to RFMS Credit Card Services you have the ability to obtain credit card pre-authorizations from your customers on quotes. This service is available for use with RFMS Order Entry as well as RFMS Mobile.

Is this a payment against a quote?

Yes and No. It is a "pending" charge you can put against a customer's credit card to use like a deposit. The funds are held by the credit car processor to be captured at a later time. (Within 7 calendar days.)

Will I see the funds like a normal payment immediately after authorization?

No. You must capture the pre-authorization as a payment in order for the funds to be captured. This is done by either exporting the quote to an order in RFMS Mobile or exporting the quote in RFMS Order Entry and capturing the authorization amount in the payments dialog.

Which version of RFMS do I need to use Credit Card Pre-Authorization?

RFMS Version 21.0+ and RFMS Mobile 2.4.5+ are required.

RFMS Order Entry Pre-Authorizations
  1. Select a customer quote
  2. Click the My Flooring Link button

  3.  Customize the My Flooring Link document. Be sure to check the options for Request Approval and Request Card Authorization

  4. Share the MFL document with the customer, they will be able to enter their credit card information and provide a signature.
  5. Pre-authorizations are good for seven (7) days once taken.
Using a Pre-Auth as Payment on an Order (Must be used within 7 days of obtaining pre-authorization)
  1. Open customer order and select Payments (or right click order and select Payments)

  2. Select register, check Card Not Present, and enter the payment amount in the Card section. Click OK.

  3. Select the Pre-Auth from the list of payment methods and click OK.

RFMS Mobile Pre-Authorizations
  1. Open customer quote
  2. Tap sign_and_auth.png
  3. Collect name and signature then tap Accept

  4. Enter the authorization amount if different from the balance due.
  5. Enter card information manually, or take payment using a mobile card reader with the insert/swipe method. Tap Authorize to complete payment.

  6. The authorization will be valid for 7 days. If the quote is exported to an order during that time the  payment will automatically be collected and receipt will be sent to the store
