E-Filing Account Requirements

Businesses submitting year-end forms electronically must have the proper accounts with their respective government agencies. These accounts are used to upload tax forms such as W-2, 1099, T4, and T5018.

RFMS does not create, manage, or provide support for these government accounts. However, if you plan to use RFMS E-Filing Services, your business must have active accounts set up prior to year-end processing.

Use this article before you begin any e-filing work to confirm that your business has the correct SSA, IRS, CRA, and Revenu Québec accounts required to upload year-end forms.

United States: BSO and IRIS

U.S. employers must maintain accounts with the following federal e-file platforms:

  • BSO (Business Services Online) — managed by the Social Security Administration (SSA) for submitting W-2 forms.

  • IRIS (Information Returns Intake System) — managed by the Internal Revenue Service (IRS) for submitting 1099 forms.

These systems require identity verification through ID.me before access is granted.

  • Create accounts well before year-end, as approval and verification can take several business days.

  • Each business filing forms must have its own BSO and IRIS accounts.

  • If RFMS is processing your year-end files, these accounts must be active before forms can be transmitted.

Canada: CRA and Revenu Québec

Canadian employers and contractors filing electronically must use the appropriate government portals for federal or provincial submissions:

  • CRA My Business Account — for submitting T4, T5018, and other year-end slips to the Canada Revenue Agency.

  • Revenu Québec (RQ) My Account for Businesses — required for Québec-based employers submitting RL-1 slips.

Important Notes

  • Both CRA and RQ accounts use multi-factor authentication and may take several days to activate.

  • Keep your account credentials current and accessible to authorized personnel only.

  • If RFMS is processing your year-end files, these accounts must be active before forms can be transmitted.
