Word Merge - Creating/Editing Merge Prototypes

Add A Field

To add a field to the Merge Template, select Mailings tab.

To display a drop down list of every field available, click Insert Merge Field. 

Double click a field to add it to the Merge Template.

Company Name and Address

Company Name and Address can be pulled from the Store file using the data fields or it can be entered manually.

User Defined Fields

To use these fields, search System Options to find the data definition for the fields with these user defined prompts. 

Bid Pro Estimate - Job Number 

Search System Options for  "Job Number" / Module = Bid Pro  

Bid Pro Estimate - Estimate Header User Field 1 

Search System Options for  "User definable field Estimate Header #1'

Line Tables

Line tables must have 2 lines.  The first line lists the Column Header Names and the second line lists the selected data field which will be used. 

The line table must be the first table in the detail section of the merge document. 

Flags for Line Printing

Flags are elements added to the document which control aspects of the line table printing. For example how the lines are sorted. 

Flags should be above the Line Table.

Print Lines

The <<Print_Lines>> flag must be present in addition to having the line table with a header and data row for formatting.  

Order Line Sort

Add the <<Sort_By_Field>> flag to determine the order the lines will print in.   Sort Choices are: 

 

  • Line Number
  • Area
  • Product Code
  • Style/Item
  • Style/Item Number

 

Exclude Zero Total Lines

To not print lines with a zero total, add the <<Exclude_Zero_Total_Lines>> flag. 

 

Print Line Notes

To print Line Notes after each line add the <<Print_Line_Notes>> flag.   

 

If there is no line table none of these flags should be on the merge document.

 

Printing Without Order Lines

Delete the Order Line Table completely and no lines will print. 

 

Adding, Deleting and Editing Order Line Columns 

 

  • Editing Header - Can be typed in directly

 

  • Editing Filed - Delete <<Field Name>> and drop another one in from the Mailings / Insert Merge Field
