SS/FEIN
Optional. 11 characters. Enter the customer's social security number or for businesses, enter the Federal Employer Identification Number.
Tax Type
Select taxable, exempt or resale. If exempt or resale is selected, an entry is required in the Tax ID field.
Tax ID No.
Optional. 20 characters. This field may be used to record tax-exempt numbers for applicable customers. If something in this field, a message will display when a customer order is entered for this customer that would indicate a tax-exempt sale.
RFMS has two ways to create tax exempt sales based on the customer record, Tax Type and Tax Certificates. These two methods are not meant to be used together as the reporting and warnings are not consistent between the two.
Tax ID Expires
Optional. Enter the date that the customer's Tax ID status would expire.
DOB
Optional. Enter the customer's date of birth.
Ship Via
Optional. 20 characters. The Ship Via will import from this customer record when adding a Ship To address on the customer order line and selecting the source as Customer.
Contact #1
Optional. 30 characters.
Contact #2
Optional. 30 characters.
Mailings Allowed
Select this option to retain this particular Customer Record on a mailing list. Defaults to not selected.
Calls Allowed
Select this option to retain this particular Customer Record on a call list. Defaults to not selected.
Print Invoice when Batch Job Costing
Deselect the box if invoices are not needed, for example the customer pays off statements.
Customers will default to having this box checked, so it is only required to edit those which will not need invoices. If the Batch Job Costing Software has not been purchased, this box will be grayed out. Defaults to selected.
Export EDI
If customer requires invoices be sent via OPS Connect, select that here.

Credit Limit
10 characters. If Utilities>System Options>Order Entry>Credit Settings>Automatic Credit Check is set to yes, at the time of entering an order for this customer a notification will display if the credit limit set here is being exceeded. If configured to make a credit check on delivered only, it will be done at the time of job costing.
If this field is left at 0.00, the customer would be considered to have no credit limit.
To set a customer to cash only put the credit limit at 1.00
Click on the Padlock button to change the credit limit. The high level password is required to access this change.
A default credit limit for new customers can be set in Utilities>System Options>Order Entry>Credit Settings>Default Credit Limit for New Customers.
Terms
10 characters. Information from this field will be exported into the customer order and can optionally be printed on the customer invoice. Credit limit must be activated for this field to be available.
This can be changed on a per order basis during job costing.
Term Days
Enter the normal number of days allowed for this customer to pay their bill. With credit checking turned on regardless of the credit dollar limit, Past due amounts past this number of days will trigger a credit limit message.
Shared UD Main/UD Branch Credit
This value can only be changed from the Main, but it will show in all the Branches as checked in the Main.
If Main / Branch Credit Check is in effect...
If something is sold to the Main, Credit Limit will be the total of Credit Limit of all Main and Branches. Term Days will from Main.
If something is sold to the Branch, Credit Limit will be the total of Credit Limit of Branch and Main. Term Days will from Branch.
If not in effect, the main and branch credit limits will be independent.
Price Modifier
Price Modifier Percentage. If Utilities>System Options>Order Entry>Products>Allow Price Modifier is set to yes, a percentage may be entered in this field.
When entering a line on a customer order, the price modifier will be imported to the selling price.
Click on the Padlock button to change the price modifier percentage.
The high level password is required to access this change.
If this customer has a Discount Price Level applied, the Price Modifier option is not available.
Price Level
This number corresponds to the pricing formulas on the products record. Answer "YES" to the option Utilities>System Options>Order Entry>Products>Use Price Level in order for this feature to be activated. Enter the price level at which this customer will be billed. If the product record does not have a price level as low as the price level for the customer the pricing will be set to the lowest level of the product.
If this option is set to no, Price Margin will appear in the Price Level field. If this customer has a Discount Price Level, the Price Modifier option is not available.
Require Purchase Order
Click inside this box if a purchase order number should be required when entering a customer order. If checked, a customer order will not be able to be completed if a purchase order is not entered on the order.
Driver's License Information
Optional. Enter the License number (up to 16 characters) and the License state (up to 5 characters).
Date Created /Created by
The system records the entry date of the customer record.
Date Edited/Edited by
Previously, if a Customer record is opened and the Save button is used (regardless of if something was edited or not), then the Last Dated Edited was updated. Now, the date is only updated if something is actually changed
Last Order Date
Based on Orders not delivered or job costed.
Last Delivery Date
Based on the delivery or Job cost date. This is helpful when looking for more current customers or those who have not shopped for a while.
Owner
This field relates to the Contract Pricing module. If this record is part of a property management group, use the ownership field to enter the Owner’s name.
