Share or Print a Quote

Use the print and share options to create a customer copy of a quote. You can print it on paper, save it as a PDF, or email it to the customer. The options in this article control both how the quote looks and how it is sent.

Where to Print

You can print quotes from two places: 

  • Quotes Browse Screen: Select one or more quotes, then click Print, print button.png, from the toolbar.
  • Within a Quote: Open the quote, then click Print, print button.png ,in the bottom-right corner.

You can print to a physical printer or save the quote as a PDF. You can also email the PDF directly to the customer.

If your company uses BidPro to create estimates, those documents must be printed or email from BidPro, not from the Order Entry Quote screen. See Using BidPro to Create and Send Estimates for instruction.

Tips for Print Quality and Branding

  • If your company uses pre-printed stationery, select the Letterhead option so logos do not print twice.
  • Check Preview before printing to make sure the layout looks correct.
  • Use Custom Message for job-specific notes, such as warranty or approval terms.
  • Use the Boxes color settings to make internal and customer copies easier to tell apart.
  • If your company uses product samples, you can include the Sample Due Date on printed or emailed quotes if this option has been enabled through Config Creator. For details, see Managing Samples on Quotes.

Quote Print Dialog

The Quote Print dialog opens after you click Print. It lets you choose the output type, printer, and display options for the quote.

Field Description
Quote to Print Select a template if your company uses that feature.
Copies Enter the number of copies to print.
Destination The default printer displays here. Click the ellipsis button to select a different printer.
Line Grouping

If the Lines for the document being printed do not have any Line Groups specified, Line Grouping will be set to Do not Sub-total and disabled. If the Lines for the document being printed do have Line Groups specified, Line Grouping will be enabled and will be set to the last grouping request for that type of document.

If using Line Groups, click the down arrow here to choose between not subtotaling by grouping or subtotaling and sorting by either the description or the group number.

Post to Batch If using Batch Printing, Clicking here will add this print job to the batch print queue.
Letterhead If this option is selected, the company information will not be printed on this Quote. This option is designed for those who have their own pre-printed letterhead paper. See also Where does the Information on my Invoice or Quote Printout come from?
Save "quote####.pdf" Creates a PDF version of the quote in the designated file path (defined in system setup). This version can be manually attached to an email or uploaded elsewhere.
Email PDF Opens your default mail client with the quote PDF attached. Confirm customer contact information before sending.
Save to PDF History Saves the document directly to the RFMS database for later retrieval. Use PDF History from the toolbar to review past versions.
Preview Click here to view a copy of the Quote before sending it to the printer.
Boxes Sold To 
Change the text color and background color of the Sold To field on the Quote printout.
Default
Select this button if you have previously changed the color of text and background and wish to revert back to the default. The default colors are: Background – Blue, Text – White 
Text Color
Click this button to change the text color for this Quote printout. The color will remain as such until manually changed or until the Default button is clicked. 
Background
Click this button to change the background color for this Quote printout. The color will remain as such until manually changed or until the Default button is clicked.
Standard, Custom, and Quote Message

The custom, standard and estimate messages are independent of the customer order custom and standard messages. 

  Note: If using the Config Creator and Custom Quote Message is selected, then the Default Quote Message will be overridden.

Standard Message

Click the Standard Message button to enter a message that will print on all customer Quotes.  It will remain as entered until changed or deleted.  A change may be made from any quote.

Custom Message

Click the Custom button to enter a custom message to be printed only on this Quote.

Quote Message

The quote message prints on all quotes inside a box in the lower left area of the printout.

Options

The Options button in the Quote Print dialog opens additional settings that control how much line-item and summary detail appears on the printed quote. These preferences affect the visual layout and level of information shown to the customer.

  Tip: Use print options strategically to match your audience.

  • For internal reviews, enable all line and total details.
  • For customer-facing quotes, simplify by disabling cost details and selecting “Estimate” as the header for a cleaner presentation.
Option Description
Line Entries on Quote Prints each quote line exactly as entered. If you prefer to show only a summarized description, clear this option and use the Custom Message field instead.
Pick Lines to Print on Quote Available only if Line Entries on Quote is selected. Allows you to choose specific lines to print. A pick list appears showing all lines on the quote.
Line Custom Notes Available only if Line Entries on Quote is selected. Prints any line-level notes entered on the quote or acknowledgment. This setting is workstation-specific.
"Zero Line Total" Lines Prints lines with a zero selling price. Useful when showing complimentary items or allowances.
Quote Total Detail Prints full breakdowns for Material, Installation Services, Misc. Charges, Sales Tax, Misc. Tax, and Invoice Total. Also includes Payment Total and Balance. When not selected, only totals print.
Use Subtotal Detail Available only if Quote Total Detail is selected. Combines Material, Service, and Misc. Charges into one subtotal line.
Print Serial # Prints the user-defined serial/ID field from the product record. This field name can be customized in Serial Number Prompt System Options.
Print Date/Time Adds the current date and time to the printed document.
Print Columns Choose which detail columns appear on the quote: Inventory, Style, Color, Quantity, Units, Price, and Extension. One or more can be selected.
Quote Name Determines whether the header displays Quote or Estimate.
