Export or Append Quotes to Customer Orders

Exporting a quote creates a Customer Order based on the quote’s information. This allows you to move from the estimating phase to an active order with linked job, billing, and scheduling data.

Use Export when the customer has approved the quote and you’re ready to convert it into a formal order.

How to Export a Quote

  1. Highlight the quote in the Quote Browse screen.
  2. Click Export export.png.
  3. In the Export Quote screen, click Yes to confirm.
  4. Review the list of lines
    • All lines are tagged by default for export
    • Untag any lines you don't want to include, or tag additional ones as needed.
  5. Click select, select.png, to proceed.

Exporting Related Quotes

When a quote that belongs to a related quote is exported:

  • All quotes in that group are marked as exported
  • Only the quote that was actually exported receives an Export Date.
  • The group is considered complete, and no further exporting or editing can occur for other quotes in that group.

How to Append to an Existing Order

  1. Highlight the quote in the Quote Browse screen
  2. Click Append, append button.png.
  3. Select Yes to the question Append Quote Lines to Existing Order?
  4. Tag all lines that are to be exported to an existing order. Click Select, select.png, to proceed.
  5. Enter the order number these lines are to be appended to. Click OK to confirm.

 Note:

If your company uses the Client Management Module (CPM),quotes can also be appended to an existing order from within a CPM project.

Depending on system settings:

Sales Representative Handling

You can keep or change the assigned Sales Rep before export.

Export Behavior by Line Configuration

Behavior depends on whether Balance Lines with Header is yet to Yes or No.

If Balance Lines with Header = No:

  • Quote with no lines - Material, Service, and Misc. Charge values export to the new order or are appended to an existing order.
  • Quote with lines, all lines exported - the quotes totals are added to the receiving Order.
  • Quote with lines, only some lines exported - the receiving Order totals remain unchanged.
System Prompts During Export

If Customer Type is configured to Ask for a Baseline when creating an Order, that same prompt appears when exporting a quote.

Editing After Export

If Editing After Export is enabled, you can open and modify the Order immediately after export. Otherwise, the order opens in read-only mode.
