With the many notes options available in an order, it may be hard to know where to begin. Each note type, shortcut, and purpose is broken down below.
This first thing to "note" in an order is that there are two Notes icon. The notes icon just below the order lines is product/service line specific. The notes will relate to the highlighted line only. The Notes icon at the bottom of the order will provide notes for the order as a whole. With both icons, the title of the icon turns red when there is a note associated with it (see below):
Order Notes:
These notes can be reviewed from Order Entry, Schedule Pro, CPM, and Inventory (both purchase orders and the inventory record itself). The keyboard shortcut to get to order notes is Alt/N. When this combination is pressed on the keyboard, the following options appear (numbers shown for explanation only):
- Order Internal: This is for internal use only.
- Order Custom: This will print on the customer's invoice.
- Work Order Custom: This will print on the installer's Work Order.
- Picking Ticket Custom: This will print on the Picking Ticket for the Warehouse.
- View All Notes & Remarks: This allows you to see all notes in one place without clicking each specific note type.
- Cancel: This is to exit the opened window.
Line Notes:
Line Internal and Line Custom notes can be reviewed from Order Entry, Schedule Pro, CPM, and Inventory (both purchase orders and the inventory record itself). The product notes are available both on the line and on the product file record itself. The keyboard shortcut to get to order line notes is Alt/S. When this combination is pressed on the keyboard, the following options appear (numbers shown for explanation only):
- Line Internal: This is for internal use. It also can be selected to transfer to the purchase order note (as of version 21).
- Line Custom: This can print on the customer's invoice if "Line Custom Notes" is checked in the order printing options. It also can be selected to transfer to the purchase order note (as of version 21).
- Product: This is READ ONLY. The information here comes from the product file notes (see below):
- Product Warranty: This is READ ONLY. The information here comes from the product warranty notes (see below):
- Cancel: This is to exit the opened window.
You may make Notes "Read-Only" by setting a Password on the OK button.
