Roll and Item Inventory in Order Entry Overview

Options while Viewing Inventory

Order Entry>File> (Roll Inventory or Item Inventory)

History.gif History: Displays the history for a highlighted record.  The history button will be grayed out if there is no history for the record.

SoftReserve.gif Soft Reserves: Add, edit or delete a soft reserve for the highlighted roll record.  The soft reserve button will be grayed out if there are no soft reserves for the record.

note.gif Notes: Add, edit or delete notes for the highlighted roll record.

ATTachment.gif Attachment: Allows adding, changing or deleting digital images to the highlighted roll record.  The attachment button will be grayed out if there are no files attached to the record.  See Maintaining Attachment for help on adding digital attachment.  NOTE:  If the digital picture is large, it may take a few seconds to display after clicking on the attachment button. 

Inventory available for viewing and assigning is determined by settings in Utilities>System Options>Order Entry>Inventory>Inventory Stores Visible to User.

find.gif Find:  Click this button to narrow down the listing by entering specific values to include in the list.

MAilIcon.gif RFMS Mail:  Send an RFMS mail message regarding the highlighted record.

The search field “collection” in roll products/inventory refers to the single collection field, which can be populated automatically on electronically received records or manually edited on all records.  In item products/inventory it refers to the private collection field.

Field Explanations - Inventory

Order Entry>File> (Roll Inventory or Item Inventory) 

All information displayed comes from the Inventory record in RFMS.

Store

As set in:

Utilities>System Options>Order Entry>Inventory>Inventory Stores Visible to User.

Product Code

Click the down arrow to select a product code from the drop down list.  IF THE PRODUCT CODE FIELD IS BLANK, NO RECORDS WILL DISPLAY.

Item or Roll Number Style Color Type

Roll Inventory records may be filtered by selecting a specific color type.  The color types shown in this pick list come from the same color type file created through the Products module (when entering a color record).  Color types may not be added here.  To add a color type to the list, go to Products and click a color for any given product record.  Click the ellipsis button next to the Color Type field.  Click Insert to add a new color type record.

Price

This is the selling price that is entered on the Item Inventory record.  It is not any of the selling prices entered in the Products module.

Location

The location indicates where the inventory is physically located.  This field may be blank if your store does not track locations for inventory.

Units

Unit of measure by which this inventory is sold.

User Label Field

The name of this field will vary.  Change the name to something meaningful. The name of the label is changed on the item inventory screen in RFMS.  When the label is changed for one record, it applies to all item inventory records.  For example, name this field "Size" and use it to enter Rug sizes.

Lading No.

This is the bill of lading number on which the items were received.

PO Number

This is the purchase order number of the inventory.
