Customer Number
This number is assigned a sequential number by the system. It can't be changed or manually entered.
The customer number is a searchable field. The customer number can be used as a lookup feature when entering customer orders.
The customer number can be printed as a barcode on membership tags (buying groups) and scanned when entering a customer order.
Default Store
Click on the F8 button to select a default store code from the store code list.
Customer Type
Click on the ellipsis button to the right of this field to select a Customer Type from the pull down menu. Select a Customer Type that would normally describe the customer account. Selecting File, Customer Type on the Order Entry main screen, creates customer types. If an existing Customer does not have a Customer Type, they will be set to the Default Customer Type when the record is edited. The default customer type is set in >Utilities>System Options>Order Entry>Order Entry>Default Customer Type for Orders.
Relationship/Buyer Type
Relationship names are user definable, but are defaulted by RFMS to Main, Branch and Standalone.
Buyer Type is used when using RFMS Referrals or ProSource. Click here for more details.
Salutation
Click on the down arrow to select the salutation from the list. If the Salutation needed is not in the drop-drown menu, it can be typed in the field.
Export Name
Select either Individual or Business. If individual, the First and Last Name will be used as the Sold To name on the customer order. If business, whatever is typed into the Business field will be used. For the First and Last Name AND the Business Name to appear, select Individual as the Export Name and type in the business name in both the Business field AND the Address #1 field.
The default for this setting is determined in >Utilities>System Options>Order Entry>Order Entry>Default Customer Name to Individual or Business Name for Orders.
Sold To Name/Address
80 total characters for first and last name with 2 characters to accommodate the , and space between them.
All 80 can be entered into first or last.
Enter the name and address of the person or company to which the sale was made. Enter company names in the Last Name field only.
Business
30 characters. Type in the business name, if applicable.
To have the name of the business show as the Sold To on the customer order, click on the Export name and select Business. If the Export Name is designated as Individual, the business name typed in this field will be ignored.
City
30 characters. Press F8 to import the city name from the city list, if that list has been established.
Country
Manually type in the country. This is used for reporting purposes.
This cannot be used for county. County is pulled from the City file.
Ship To Name/Address
80 total characters for first and last name with 2 characters to accommodate the , and space between them.
All 80 can be entered into first or last.
Enter the name and address of the person or company for installation/service. This field will export to the customer order in Order Entry.
If the Ship To information is the same as the Sold To information, click on the COPY button to transfer the information automatically without re-typing.
Telephone Field #1
Optional. 12 characters. Enter the primary telephone number for this customer. This is a searchable field. The name of this field can be changed in Utilities>System Options>System Wide>General>Telephone 1 Prompt.
Telephone Field #2
Optional. 12 characters. This field will export to the customer order in order entry. The name of this field can be changed in Utilities>System Options>System Wide>General>Telephone 2 Prompt.
Telephone Fields #3 - #5
Optional. 12 characters. The name of these fields can be changed in Utilities>System Options>System Wide>General>Telephone (3-5) Prompt.
30 characters. Enter the email address.
Active Since
For a buying membership or similar program, track membership information using the next four fields. Active Since should reflect the date the customer joined the membership or buying program.
Renewal Date
Enter the date that the customer would be required to renew their program membership.
Renew Amount
Enter the amount of money required for membership.
Renew Group For a membership program, the membership list can be divided into categories by building a sub-file called Renew Group. Click on the ellipsis button to the right of this field to access that file. Click on Insert to add a new description or double-click on an existing group to use for this customer. The Renew Group descriptions are informational only and are not searchable or printable.
SalesRep #1 and SalesRep #2
Press F8 to import the name from the master salesperson list. Salesman #1 will export to the customer order in Order Entry if the customer name is exported.
Commission Split
If >Utilities>System Options>Order Entry>Order Entry>Edit Split Commission On Order is set to yes, when entering two sales reps, the percent buttons will become active.
Click one of the buttons and change the percentage for one of the reps in the set commissions pop up box. The percentage for the other sales rep will automatically recalculate.
Orders for this customer will default to these two representatives and the default commission split set here.
